Good afternoon!

As we are nearing the completion of our migration of all individual and departmental phone numbers to Teams Calling, we want to thank you for your support and collaboration throughout this transition.

We know that any major technology change can bring challenges and disruptions, and we sincerely appreciate your patience, flexibility, and feedback as we modernize campus phone services.

For Departments Transitioning This Week

Your department's phone service is scheduled to move to Microsoft Teams Calling after business hours on July 22. Beginning July 23, you will make and receive campus phone calls through Microsoft Teams instead of your desk phone.

Before July 23

Please complete the following steps if you have not already done so:

  • Open Microsoft Teams on your computer and ensure you can sign in successfully.
  • Review the Teams Calling Quick Start Guide and FAQ.
  • If you need a headset, contact your Administrative Assistant or Department Head. To help manage distribution, headset requests should be submitted by department. These headsets are being offered at no cost to your department. Order here.
    • If you are interested in additional headset options – see Teams Calling Alternate Headset Options described in our Knowledge Base. Orders for these headsets can be placed through the Hardware/Software system.

If you already use a headset or headphones for Teams meetings, they should also work for Teams Calling.

  • Plan to attend one of the support sessions listed below.
  • Contact the Technology Help Center at x2500 or submit a ticket if you have questions before the transition.

On Go-Live Day

  • Your desk phone will stop functioning by noon on July 23.
  • Take a few minutes to review the Getting to Know Teams Calling guide and make a few test calls.

Support

We will be offering two drop-in support sessions on your first day of Teams Calling. If possible, please bring your laptop.

Support Session #1 Thursday, July 23, 2026 9:00 a.m. – 11:00 a.m. Professional Studies 1166

Support Session #2 Thursday, July 23, 2026 1:00 p.m. – 3:00 p.m. Park Center 2133

If you cannot attend one of these sessions, you can sign up for Teams Calling training, contact the Technology Help Center at x2500, submit a ticket, or visit the Technology Help Center in the Memorial Library.

For Everyone Who Transitioned

We appreciate the feedback we've received and are actively making improvements based on your experiences.

Helpful Reminders

If you haven't already done so:

  • Review the Quick Start Guide to customize your call settings and voicemail.
  • Visit the Getting to Know Teams Calling article to become more familiar with Teams Calling features and ensure everything is working as expected.
  • If you would like someone to be able to pickup calls on your behalf – review this article for instructions on how to setup a call delegate.

Headsets

If you are looking for other headset options – please see our Teams Calling Alternate Headset Options described in our Knowledge Base. Orders for these headsets can be placed through the Hardware/Software system.

Physical Phone Pickup

Our team is continuing to pick up physical phones from those who have transitioned to Teams Calling. A tech will disconnect your phone and ensure that you still have network connectivity on your computer. We appreciate your patience.

Department and Office Numbers

If you answer a department or office phone number, we have refined our department calling configurations. We had success last week and will be revisiting some offices/departments from week one.

We appreciate your patience while we work to make these adjustments. We will communicate with the impacted individuals as updates are made.

Support

Please reach out if you need support. We will continue to hold Teams Calling trainings in a variety of formats. Sign up here.

You may also contact the Technology Help Center at x2500, submit a ticket, or visit the Technology Help Center in the Memorial Library.

Thank you,

Microsoft Teams Calling Project Team
