Thank you for helping us successfully complete this major milestone in the Teams Calling project. As of tomorrow, all scheduled departments and individuals will have moved to Teams Calling. As the campus continues to settle into Teams Calling, we’d like to share a few reminders, helpful tips, and information about available support resources.

TL;DR:

Teams Calling is now live for all scheduled departments and users! If you haven’t done so already, please take a few minutes to set up:

  1. Your Voicemail
  2. Out-of-office settings
  3. Call Delegates (if needed) Creating a Calling Delegate | Acting as a Calling Delegate

For the best experience, use the Teams desktop app whenever possible. Additional drop-in support sessions will be available throughout August, and Technology Help is ready to assist if you need support. Work continues on emergency phones and the remaining physical phone deployments in select campus locations. Thank you for your patience, feedback, and partnership throughout this transition!

Did you know?

  • You can answer your campus phone calls, chats, and more from your mobile device using Teams.
  • You can type out your voicemail message – and Teams will read it to your caller for you.
  • Teams voicemail provides a transcription of your messages.
  • You can set up call forwarding or delegates when you’re away from the office.

Getting the Most Out of Teams Calling

Using Teams on All of Your Devices

Teams isn’t limited to your campus computer. By installing the Microsoft Teams app on your mobile device, you can access calling, chat, file sharing, and notifications while away from your computer. We highly recommend reviewing this article if you plan on utilizing Teams on your mobile device – this article will guide you through how to manage Teams notifications.

Set Up Your Voicemail

Call Delegates

If an Administrative Assistant, Office Assistant, or colleague regularly answers calls on your behalf, you may benefit from using Teams Calling delegates. Delegates can answer calls for you, place calls on your behalf and help ensure important calls don't go unanswered. Creating a Calling Delegate | Acting as a Calling Delegate

Headset Information

If you're looking for a headset, remember that many headphones already used for Teams meetings will also work for Teams Calling. Additional headset options are available and should be ordered through the Hardware/Software systemSee this article for more information on the available options.

Best Practices

Planning to Be Out of the Office?

We recommend you review your plan for when you are out of the office. Consider updating your out-of-office voicemail, setting up call forwarding, or assigning a delegate if someone else should answer calls while you're away. See this article for guidance on how to prepare for being out of the office.

Use the Desktop App When Possible

For the best calling experience, we recommend using the Microsoft Teams desktop application rather than Teams in a web browser. The desktop app provides the most consistent access to calling features and settings.

Training & Support Opportunities

We recognize that many faculty members were away from campus during the summer rollout. We will be offering more drop-in support sessions in August. Although these sessions were scheduled with faculty support in mind, all are welcome to drop in if they need additional assistance.

What’s Next?

UPD and Emergency Phones

Information Resources is continuing to work with UPD and the necessary vendors to transition emergency calling to the new system. We will keep the campus notified as changes are made.

Physical Phones, Classrooms & Shared Spaces

Information Resources has worked closely with campus leadership to determine where physical phones should remain. Physical phones will continue to be provided in adjunct offices, custodial offices, science labs, pool facilities, and some workshop environments. Information Resources will continue to review requests for physical phones.
