Whether you’re out of the office for a short or long time, or on a planned vacation or unexpectedly, you can change your Teams calling settings so that your long-term voicemail is used or forward phones to someone else. You can change your setting or someone else can.
Out of Office Voicemail
Voicemail can be set up to be different when you have an Out of Office notification in your Outlook email by checking the box indicated below.

- Out of office voicemail can be recorded using the record voicemail feature in the Settings > Manage Voicemail section.
- Out of office voicemail can be written, and then read by an electronic voice using the ‘Write a custom greeting’ button
- If the option to answer when Outlook automatic replies are on is selected but no message is created the automatic message will be:
“The person you are trying to reach is currently out of the office. Please leave a message at the tone”
Forwarding your phones
To forward your phone when you will be out of the office
- Go to Settings > Calls
- In the Call handling and forwarding section slide the ‘Forward all calls’ toggle to On
- Choose how to forward calls, to either voicemail or to another person or number.

Or
- Go to the Teams Calls tab
- Select the arrow next to the Don’t forward shortcut below the dial pad
- From the list choose forward to voicemail or to a previously designated person
- To forward to a new person choose settings to go to the Settings tab

Forward calls from Teams phone app
To access the Settings in the Teams phone app:
- Select your avatar, picture, or initials in the top left corner of the Teams screen
- Select Settings
- Select Calling
- Slide the Call forwarding toggle to On
- Choose where to forward, voicemail or enter a contact or number


Forward calls as a delegate
By default a delegate has the ability to change call and delegate settings. Setting up a delegate in advance will allow that delegate to forward your phone while you may be unexpectedly out of the office.
A delegate will not receive phone calls unless you or they forward your calls to them or ring them as well.

Forward calls as a delegate
- Go to Teams Settings
- Select the Calls tab
- Select the name of the person you are a delegate for at the top of the window
- Toggle the ‘Forward all calls’ slider to On (be sure your are on the delegee’s settings tab)
- Select the Forward to delegates option to forward to yourself or forward to another number if desire
