The Teams app can be used solely as a video conferencing tool. You can schedule Teams meetings with your installed version of Outlook, your webmail and with the calendar in the Teams app.
You do not need to be part of a team to use Teams for videoconferencing, and attendees can join a Teams meeting either with their browser or they can download the app for free.
Schedule a Teams meeting
Outlook (installed)
- Navigate to the Outlook Calendar
- Select New Meeting button
- Choose the Teams Meeting button
- Schedule the meeting as usual
Or
- Navigate to the Outlook calendar
- Choose the New Teams Meeting button
- Schedule the meeting as usual
Using either of these options, a link for an online meeting in Teams will be added to the meeting invitation.
Attendees can be added from campus or off campus. To add Cortland attendees, enter the first part of their name in the Required field and then choose their name from the drop-down list.
To add non-Cortland attendees, enter their email in the Required field
Outlook Webmail
- Navigate to the Calendar tab of your Outlook Webmail
- Select New Event
- Enter meeting information as usual
- Enter the Attendees – choose from list for Cortland attendees, enter email for non-Cortland attendees.
- As soon as any attendee is added a Teams meeting is created
- Click Send
Teams (web app or installed)
- Navigate to the Calendar tab of the app
- Select the down arrow next to New Meeting
- Choose Schedule Meeting
- Enter the title and names of the attendees – choose from list for Cortland attendees, enter email for non-Cortland attendees.
- Online meeting will automatically be toggled on, all meetings scheduled with the Teams app will automatically have a link to a Teams video conferencing meeting.
- Choose meeting option on the right of the screen
- Click Send
Invite people with only a meeting link
After the meeting has been scheduled you can invite people by sending a link to the meeting
Outlook (installed)
- Navigate to the Outlook calendar
- Double click on the meeting to open and edit the meeting information
- Right click on the link “Click here to join the meeting”
- Choose Copy Link from the menu
- Paste the link in email and send to whomever needs it
Outlook Webmail
- Navigate to the Outlook Webmail calendar
- Double click on the meeting to open and edit the meeting information or right click on the meeting and choose Edit from the menu
- Right click on the link “Click here to join the meeting”
- Choose Copy from the menu
- Past link in email and send to whomever needs it
Teams (web app or installed)
- Navigate to the Calendar tab of the Teams app
- Right click on the meeting on the calendar
- From the menu choose Copy Link
- Paste the link in email and send the link to whomever needs it
