Campus Communicator FAQ

Q: Why do attachments get numbers added to their name when they get sent out?
A: Campus Communicator saves all attachments on a separate server so they can be added to the daily digest later in the day. Outlook does not require names to be unique on attached files so Campus Communicator automatically assigns an auto-incremented number to each attachment in order to ensure that each file name is unique.

Q: Why are there question marks in the subject line of our message when those weren't visible when it was sent?
A: The most common cause of this is because the text was copied and pasted from another application. Just like attachments, the text of each email is saved elsewhere and certain applications, such as Microsoft Word, add extra characters into the text that aren't visible when pasting directly into the Outlook Web Application (OWA). To avoid this, type your message directly into OWA or first paste any text into Notepad, then copy/paste it from Notepad into OWA. Notepad will strip any of those unnecessary characters out.

Q: Why is there a code in the subject line of my email after I hit the Confirm button in Campus Communicator?
A: The code is so the process that sends the email out to campus can determine information like the populations and categories selected. 

Q: Can I delete the code from the subject line?
A: No. If the code is missing, your message will not send out to campus.

Q: What if I accidentally deleted the code from the subject line?
A: If you still have the Campus Communicator window up simply hit the Confirm button again and it will generate a new code. If you have closed the Campus Communicator window please delete the message and start over.

Q: Will the code be in the message when it goes out to campus?
A: No. Before the message is sent out to campus the code will be stripped out of the subject line, regardless of where it falls with the rest of your subject. If you did not add a subject the text (No subject) will be added and sent.

Q: I sent my message to Communicator but I haven't seen it go out to campus yet.
A: If it has been less than thirty minutes, continue to wait. It can take time to process the messages and get them delivered to everyone. If it has been over thirty minutes, check your sent items and verify that the code is in the subject line of the email. If any piece of the code is missing, including the brackets around it, then the message will not be sent out to campus.
