What is Teams Calling?

Teams Calling lets you make and receive phone calls using the Microsoft Teams app on your computer, mobile device, or web browser. You keep your campus phone number and can place/receive on‑campus and off‑campus calls.

Why is Teams Calling over traditional desk phones?

  • Video Conferencing:
    • Teams Calling allow for video calls and conferences, making it easier for remote teams to connect and collaborate. 
  • Presence Status:
    • Users can see the availability of others, enabling quicker and more efficient communication along with click to call without dialing a number.
  • Mobility:
    • Teams Calling can be used on various devices, including laptops and smart phones, allowing for on-the-go communications

Who gets Teams Calling?

All employees who currently have a campus phone will get Teams Calling. Some locations with specific operational needs will receive Teams-enabled physical phones.

Will my phone number change?

No. You keep your existing number.

What devices can I use?

Any device running Microsoft Teams, a laptop, desktop, or mobile device running Windows, macOS, iOS, and Android.

Do I have to use my cell phone to answer calls?

No. All calls route through the Teams App. You can use your laptop, desktop, or mobile device. 

Do I need a new phone?

No, unless you work in a designated shared space that requires a physical Teams phone.

Can I use Teams Calling on my personal device?

If you choose to install the Teams app on your smart phone you can make and receive calls using your campus number. Your personal number will remain private. 

Will I need a new headset?

Most standard headsets that work for Teams meetings also work for Teams Calling. We have headsets available. During the rollout to your department, our project team will work your department head to determine the number of headsets required. 

Are there accessibility features?

Yes—live captions, voicemail transcription, screen reader support, keyboard shortcuts, and assistive device compatibility.

Do I need to be on campus or connected to WARP (VPN)?

No. Teams Calling works from any internet connection whether you are on or off campus — no connection to WARP (VPN) required.

Can I forward calls or set call rules?

Yes. Teams Calling allows forwarding, simultaneous ring, call groups and custom rules. To change these settings go to Teams -> Settings -> Calls. 

Can our department admin assistant still answer my calls?

Yes. Someone can be added as a delegate, allowing them to place and receive calls on your behalf.

Will I need to request access to make international calls?

If you have a business need to make international calls and are unable to do so - please contact the Technology Help Center to request access. 

Will voicemails still arrive in my email?

Yes. Voicemail will be available on the calls tab of the Teams app and it will also be sent to your email. In your email you will receive a recording and a transcription of the voicemail. 

How do I stop receiving calls when I’m not working?

You can configure call rules so that your Teams Calling does not ring during specific times, use Do Not Disturb, or set quiet hours in Teams mobile. 

Is Teams Calling secure?

Yes. Teams uses enterprise grade security, encryption, and compliance tools.

How does 911 work in Teams?

Teams routes emergency calls based on your location:

  • On‑campus: Routes to local emergency services.
  • Off‑campus: Routes based on your entered or detected location.

Will there be training?

If you're familiar with Teams, the learning curve is minimal. Training guides and office hours coming soon!
 

 

Using Teams Calling

Quick Start Checklist

  • Configure ringer settings: Teams → SettingsDevices
    • Set Secondary Ringer to device speakers if your headset is always plugged in, so you can hear the ringer
  • Set call forwarding / call rules: Teams → SettingsCallsCall handling and forwarding
  • Add a delegate: Teams → Settings → Calls → ​​​​​​​Manage Delegates
  • Add speed dials: Teams → CallsSpeed dial​​​​​​​Add
  • Update emergency location when off campus: Teams → SettingsCallsEmergency location
    • Choose from auto-populated address whenever possible

How do I make a call?

Select the Call tab in Teams

  1. Enter a Name in the "Type a name or number" field
  2. Select the person from the dropdown address list
  3. Select the Call button

or

  1. Enter a 10-digit phone number in the "Type a name or number" field
  2. Choose the person from the dropdown list or select the number marked 'External'
  3. Select the Call button

How do I transfer, park, or conference calls?

To transfer a call:

  1. While in the call, at the top of the call screen in Teams select the Transfer button
  2. Choose to immediately transfer or 'Consult then Transfer'

To put a call on hold:

  1. While in the call, at the top of the call screen in Teams select the Hold button
  2. To resume the call choose the Resume button

To make a conference call:

  1. While in the call, at the top of the call screen in Teams select the People button
  2. Enter a name or number to add new people to the call

Can I elevate a call to a meeting?

No. Presently it is not possible to change a Teams call to a meeting. 

How do I check voicemail?

You can find your voicemail on the Calls tab of Teams. Selecting the Voicemail button will filter incoming calls so that all you see is voicemail. You will have a recording and a transcript.
Voicemail is also delivered to your email Inbox, where you also receive a recording and a transcript of the call.

What happens if someone calls me during a meeting or when my calendar is blocked?

You can set your status to Do Not Disturb before a meeting or a call will ring and you can choose the red button to decline it and it will automatically be sent to voicemail.

How do I use Teams on a mobile device?

Install the Microsoft Teams app → sign in with your campus account.

How do I hear calls if my headset is plugged in?

In the Teams >Settings > Devices section, designate your device speakers as a Secondary Ringer

Tips for computer-based calling

Use a headset, mute when not talking, and move to a private space for sensitive conversations.

Some troubleshooting tips

Audio quality is bad

  • Use a USB or Teams‑certified headset
  • Make sure headset is plugged in
  • Check Teams → SettingsDevices
  • Restart Teams

I’m missing calls.

  • Enable secondary ringer to your mobile or device speakers
  • Ensure Teams is running and notifications are allowed.
