Accounts and Storage:
Information Resources will provide user accounts to a primary Video Management Platform (currently YuJa)
Usage of alternative streaming video platforms for sharing and archiving videos is discouraged and not supported by Information Resources.
Content within accounts may be reviewed by appropriate Information Resources staff for adherence to applicable University policies.
Content purchased with university funds should be loaded into the central library of the Video Management Platform when appropriate.
Information Resources does not guarantee the long-term archival storage of original content. Content creators should maintain an appropriate backup of their work.
Content Ownership and Copyright Compliance:
Users must respect intellectual property rights and comply with copyright laws when uploading, sharing, or using video content on the platform.
Only original content, properly licensed material, or content with appropriate permissions for educational use shall be uploaded or shared.
Users should be aware of Fair use principles regarding copyrighted material, which typically include purposes such as criticism, comment, teaching, scholarship, or research.
Accessibility
Content creators are responsible for ensuring captions are clear, easy to read, and displayed long enough to be read by viewers and should offer full transcripts of the video content, including spoken dialogue, non-speech audio, and descriptions of visual content.
Content creators are responsible for including audio descriptions to convey important visual details that cannot be understood from the main audio alone.
Content creators are responsible for visual accessibility such as using clear, high-contrast colors for text and backgrounds to help viewers with visual impairments or color blindness.
Privacy and Data Protection:
Users must obtain appropriate consent from individuals featured in videos before uploading or sharing their images, voices, or personal information.
Original video content of students and others should include the appropriate release forms. Video content of minors must follow appropriate University policies.
Any sensitive or personally identifiable information shared in videos must be handled in accordance with applicable privacy laws and University policies.
Purpose:
The University recognizes the importance of utilizing video management platforms to enhance teaching, learning, research, and administrative functions. This policy establishes administrative responsibility for a fully supported centrally managed video platform which will be compliant with data privacy, information security, and accessibility standards. The policy establishes guidelines for the responsible use of the platform by staff, faculty, and students.
Applicability and Scope
This policy applies to all University members, including faculty, staff, and students.
Definitions
Fair use: A legal doctrine that allows for the limited use of copyrighted material without the copyright holder's permission.
Content creator: A user of the video platform that creates, uploads, and shares videos they have recorded and produced.
