Policy statement

Technology equipment deemed suitable for reassignment may be reassigned to an individual within the department that funded the original purchase. CTS (Campus Technology Services) must be notified when technology equipment is reassigned to a new user to maintain an accurate inventory of all equipment. 

Technology Equipment not reassigned within the department will be evaluated by CTS and disposed of or taken into CTS’s surplus inventory. Computers taken into inventory will have all data removed and the computer will be re-imaged. Campus Technology Services is not responsible for any loss of data stored on computer devices that have been returned as surplus.  

Upgrades to CPU, memory, and hard drives of reassigned computers are not funded by CTS. CTS will assist departments in assessing the cost-effectiveness of upgrades. 

If a faculty or staff member changes departments, their technology equipment should typically remain in the former department unless both department heads agree otherwise. If equipment is moved, any sensitive data must be removed from the hard drive, and CTS should be informed. 

A limited surplus inventory will be maintained for emergency replacement/repair. 

Purpose:

This policy defines the ownership and use of technology equipment. 

Applicability and Scope

This policy applies to all technology equipment purchased with College funding, which is owned by the College. This policy does not apply to equipment purchased by other entities, such as the Research Foundation, or equipment purchased through grant funding. 

Definitions

Technology Equipment: desktop and laptop computers, monitors and related peripherals.
