OneDrive - Sharing Files

If a file is saved in OneDrive there are many ways to access the Share feature. There is a Share button at the top of an open file in both the online and installed versions of Word, Excel and PowerPoint. There are also 3 Share buttons available from your OneDrive;  

  1. the Share button shown below,  

  1. a Share command in a dropdown menu accessed by selecting the three dots next to the button, 

  1. if the button in front of the file is checked the top menu changes to include a Share command 

It is important to note that any Share command will open the same box with the same Sharing features. 

 

To share from your OneDrive:

 

  1. Open your OneDrive
    MS app launcher
  2. Hover over the file you would like to share and select the Share button

    This opens the Sharing dialog box

The default sharing settings are People in SUNY Cortland (meaning with a SUNY Cortland email address) with the link can edit.

 

3. To change the sharing settings, click on the line “People in SUNY Cortland….” to open the Link Settings box

Your options are:
Anyone with the link
Anyone who receives a link to this document, whether they have a Cortland email address or not, will be able to access the document. Options include:

- Can change to review or view only
- An automatic expiration date of 180 days from the date of sharing but you can set it sooner
- You can set a password if you want to
- If the document is in View only mode, can move the toggle to block downloading of the document

Anyone with the link settings

People in SUNY Cortland with the link

Only people with a SUNY Cortland email address will be able to access this document. They can share the link with others who will also be able to access the document as long as they have a SUNY Cortland email address. Options include:

- Change access from Can Edit to Can review or Can view

- In View mode can block download
edit, review or view settings

People with existing access

People with existing access can be used by people who already have access to the document or folder. It does not change any permissions. Use this if you just want to send a link to somebody who already has access.

Specific people

The recipient will receive a link in their email that works only for them. When they select the link, if they have a cortland.edu email address it will open easily, if they have an off campus email they will need to verify their identity to access the file. You can allow edit, review or review permissions as well as block file download.

 

4. After choosing sharing level and settings select Apply

5. Enter the name of the person you are sharing with if they have a cortland.edu email address or the email address if they have an 'off-campus' email address

a. If entering a name, the name from the Cortland directory will pop up, click the directory listing to choose the name 

6. Click Send to send an email with the link or choose Copy to copy the link to add to a different email.
